Information collected
When you make a coaching enquiry, CW Driver Development collects your name, email address, driver type and the information you provide about your driving and coaching goals.
When you join the Academy waitlist, CW Driver Development collects your email address, your first name if you choose to provide it, the date you joined and your consent to receive Academy communications.
When you become an Academy member, information may include membership and account details supplied through Patreon, your Discord username and contributions, questions, submitted laps, recordings and other information you choose to share during Academy activities.
The website may also process limited technical information such as IP address, browser information, request time and security logs when needed to deliver and protect the service.
How and why the information is used
- Coaching enquiries: to review your request, respond, recommend suitable coaching and take steps you request before entering into a coaching agreement. The lawful basis is that the processing is necessary to take steps at your request before a possible contract.
- Academy waitlist: to send launch, availability, access and related Academy emails, including requests for feedback. The lawful basis is your consent. You can withdraw consent at any time by emailing calan@cwdriverdev.com.
- Academy membership: to provide courses, live sessions, recordings, challenges, lap reviews and community access. The lawful basis is performance of the membership agreement or taking requested steps before it begins. Live sessions may be recorded for the active-member library.
- Site operation and security: to deliver, troubleshoot and protect the website and its forms. The lawful basis is the legitimate interest in operating a reliable and secure business website.
- Legal records: to retain records where necessary to meet legal, tax, accounting or dispute-resolution obligations.
No solely automated decisions or profiling with legal or similarly significant effects are made using this information.
Who receives the information
Information is shared only where needed with service providers that support the website and communications. These include Railway for website hosting and Google Workspace, Google Apps Script, Gmail and Google Sheets for receiving coaching enquiries and managing the Academy waitlist.
Academy subscriptions and recurring payments are managed through Patreon. Patreon processes the membership, account and payment information needed to provide that service under its own privacy notice. Active members may also use a private Discord community for Academy communication, submissions and live sessions. Discord processes information associated with that platform under its own privacy notice.
The homepage can display public Instagram content from Meta. Vimeo is not loaded until you press Play on the coaching example video. Those providers may receive technical information such as your IP address and browser details when their resources are requested. Their own privacy notices apply to their services.
Submitting a lap uses the separate RaceBook service operated by AllSports. Information you provide there is handled under that service’s own terms and privacy information. Completed lap reviews are delivered as unlisted videos hosted by YouTube, a Google service. Anyone with an unlisted video link can view it. Reviews, written summaries, circuit reference notes and other coaching materials are supplied for the client’s personal use and require permission from CW Driver Development before they are published or shared publicly.
International transfers
Some service providers may process information outside the United Kingdom. Where UK data protection law requires it, information must be protected using an adequacy regulation or appropriate contractual safeguards. You can contact CW Driver Development for more information about the safeguards relevant to your information.
How long information is kept
Coaching enquiries are kept for up to 24 months after the last interaction, then deleted unless you become an active client or a longer period is required for legal, accounting or dispute-resolution purposes.
Academy waitlist information is kept until you withdraw your consent or six months after the Academy launches, whichever happens first. If you separately become a customer or give consent for another purpose, the information needed for that purpose may be retained under the relevant terms.
Academy live-session recordings may remain available indefinitely in the active-member library, subject to the Academy and its hosting platforms continuing to operate and any legal requirement to remove material. Reasonable steps are taken to remove or obscure identifying usernames, voices and personal details from recordings and submitted lap footage, although complete anonymity cannot always be guaranteed.
Replay, video and telemetry source files submitted for a Lap Review are removed as soon as practical after the review is completed. The completed recorded review is hosted by YouTube as an unlisted video and may remain available indefinitely through its link.
Information may be deleted earlier when it is no longer needed.
Your rights
Depending on the circumstances, you may have rights to access your personal information, correct it, ask for it to be erased, restrict or object to its use, and receive a portable copy. Where processing is based on consent, you can withdraw that consent at any time without affecting earlier lawful processing.
To exercise a right or ask a privacy question, email calan@cwdriverdev.com. You can also complain to the Information Commissioner’s Office.
Children and junior drivers
If you are under 18, a parent or legal guardian must submit a coaching enquiry or Academy waitlist request, purchase and manage any Academy membership, make any coaching booking, accept the applicable terms and provide consent on your behalf. Direct service communications will go through the guardian or include them.
Junior Academy members may use Discord only if they meet Discord’s minimum age requirement for their country and their parent or guardian agrees. Otherwise, the parent or guardian may use the Academy Discord on the junior member’s behalf.
For live remote or on-track coaching, the guardian must remain present at the home or circuit and reasonably available throughout. They do not need to remain beside the driver unless required by the venue, event organiser or safeguarding circumstances.
Any recording, publication or sharing of a junior driver’s footage, review or data requires the guardian’s explicit permission. The guardian remains responsible for the young person’s supervision, transport and welfare outside the coaching itself.
